Job Overview

The Executive Assistant provides high level, confidential support to the Chief of Chassis and Vocational Engineering. This position handles preparation and planning for internal and external meetings, arranges detailed travel plans, manages a complex schedule, composes and prepares emails, and ensures appropriate preparation for each calendar item. In addition, the Executive Assistant will participate in projects and create presentations as need.   • Support management in organizational topics and hiring

  • Generate and process purchase requests, purchase orders and goods receipts

  • Manage and maintain schedules and appointments, catering, and travel (Domestic & International) arrangements for executives and management staff

  • Effectively handle sensitive, confidential, and proprietary information. Establish and maintain confidential files and records, releasing documents and other information requiring the use of discretion as to the nature and extent of distribution

  • Coordinate with internal partners to support the team, i.e. facilities management, equipment orders, seating plans, etc.

  • General administrative tasks, such as meeting minutes, powerpoint updates, document preparation for the hiring process, and event scheduling

  • Onboarding of new hires and interns, create documentation on processes and best practice

  • Manage office and business needs for supplies, materials, tools, IT equipment, and other resources

  • Performs other related duties as assigned

  • Effectively handle sensitive, confidential, and proprietary information. Establish and maintain confidential files and records, releasing documents and other information requiring the use of discretion as to the nature and extent of distribution

  • Maintain and manage seating charts and organizational moves

Basic Qualifications (Required Skills & Experience)

  • 3 years of related experience or AA degree 1 year of relevant experience required

  • Communication, Business, English, Office Administration, Paralegal Studies, or other relevant field required

  • Working knowledge of scrum, its roles and ceremonies required

  • Ability to work and collaborate with remote locations over different time zones required

  • Strong presentation, intrapersonal, written and communication skills required

  • High proficiency of Microsoft Office suite (Excel, PowerPoint, Word) required

  • Extremely detail oriented, reliable, and self-motivated required

  • An attached resume is required

Typical Minimum Experience Preferred (Desired Skills/Experience)

  • At least 5 years experience as an administrative assistant preferred

  • Proven work experience with SAP and Concur preferred

  • Past experience in a demanding, fast paced, and dynamic office environment preferred
